AI for allied health clinics: get your practitioners back to practising
Note-writing is eating 10–14 hours per practitioner per week. Here's how to get most of it back, without a HIPAA / Privacy Act disaster.
We work with a handful of allied health groups — psychology, physio, exercise physiology, speech path. The pattern is the same in every one. Practitioners are losing 10–14 hours a week to admin. Founders are doing the heavy hours after dinner.
The fix
Note-writing is the obvious first build. A note-writing agent that takes the session audio (with client consent), drafts a SOAP / SOP note in the practitioner's voice, and lands in the practitioner's inbox for review. The practitioner edits and signs in 2 minutes instead of typing for 15.
Done properly, this gets a practitioner from 14 hours of admin/week to under 4. That's 8–10 billable hours back per practitioner per week. In a 6-practitioner clinic that's the equivalent of hiring half a practitioner with no salary.
How to do it without a privacy disaster
This is the part most clinics get wrong. Audio of clinical sessions is some of the most sensitive data in your business. You cannot run it through a public ChatGPT or Claude account. You need:
- Australian or in-region data residency, in writing, from your model provider.
- A client-consent flow that's actually compliant with the Privacy Act and your professional body — not just a checkbox.
- Audit logging of every transcription and every model call, kept for 7 years.
- A retention policy that deletes raw audio after the note is signed.
If a vendor can't give you all four in writing, walk away. We do.
Beyond notes
Once notes are working, the next two builds are intake triage (incoming referrals routed to the right practitioner with a complete file) and billing chase (tiered reminders on aged receivables). Both small. Both real money.
Practitioners don't quit because of clients. They quit because of admin. Move the admin and you keep the team.
